Planning Guide / Guest Flow

Plan the signs
from the guest route.

A useful sign appears where a guest has a decision to make. Start with the route, confirm the venue rules, then choose the material and hardware.

The Short Answer

Walk the event before you count the signs

Review the route as a first-time guest: arrival, registration, the first major choice, session rooms, sponsor moments, services, and the way out.

  1. 01

    Arrival

Confirm that guests can identify the event and find registration without asking.

  2. 02

    Decision points

Place directions before corridors, elevators, stairs, and room choices—not after them.

  3. 03

    Destination

Confirm each room, stage, service, and sponsor area when the guest reaches it.

Compare the Options

Match the format to the location

The venue surface, viewing distance, installation method, and expected use matter more than choosing one material for the entire event.

Route Check

Give every sign one clear job

A sign should identify, direct, inform, or recognize. Combining too many jobs usually creates a sign that guests cannot scan while moving.

  • Direct

Use the destination name, a clear arrow, and only the information required at that decision point.

  • Confirm

Repeat the destination at the room or area so guests know they arrived correctly.

Venue Check

Approve surfaces and installation before artwork

A beautiful file is not useful if the venue will not approve the adhesive, location, base, or installation method. Resolve the physical conditions while the artwork can still change.

  • Ask the venue

Which surfaces are approved, what attachments are permitted, and when installation and removal can happen.

  • Record the location

Photograph and measure each placement, including nearby doors, lighting, furniture, and guest sightlines.
