Planning Guide / Registration

Choose the badge system
around what can change.

The right format depends on when attendee information becomes final, how the credential will be worn, and what must happen at check-in.

PVC event badges and custom lanyards prepared for a conference registration desk

The Short Answer

Start with the attendee-list deadline

The badge material matters, but the most useful first question is when names, titles, companies, and access details will actually be approved.

  1. 01

    Names final before production

Pre-printed PVC badges create a durable, finished credential.

  2. 02

    Details may change later

Replaceable inserts keep variable attendee information flexible.

  3. 03

    Walk-ins or changes at doors

On-site printing moves the variable step into the arrival window.

Width, print method, attachment, safety breakaway requirements, quantities, and production timing.

Decision 01

Separate fixed branding from variable information

Event branding, sponsor marks, badge colours, and lanyard artwork can often be approved before attendee names. Treating them as separate production decisions protects time for the information that changes last.

  • Fixed

Event identity, sponsor branding, badge dimensions, orientation, and lanyard design.

  • Variable

Name, company, title, access level, QR code, table, track, or attendee type.

Decision 02

Design the arrival process with the badge

A badge can be correct on paper and still slow down registration. Plan how guests will be found, how badges will be sorted or printed, where lanyards are handed over, and who handles exceptions.

  • Pre-printed pickup

Plan sorting, table space, duplicate names, corrections, and unclaimed badges.

  • Printed on site

Plan queue space, equipment, staff roles, backups, and the busiest arrival period.
